Ownership and limited permission
The photographer keeps ownership. You grant One More Try Software LLC, operator of VAULTmeet, a non-exclusive, worldwide, royalty-free permission to store, review, reproduce, and display this photo on the VAULTmeet homepage with the athlete and photographer credits you provide. There is no payment and no guarantee of selection. We may resize, compress, remove embedded metadata, and crop the image for different screens. This permission does not authorize materially changing the athlete’s appearance or using the photo for AI training.
People pictured and your authority
You must be 18 or older and submit as the featured adult athlete or as the athlete’s parent or legal guardian. A coach or photographer is not a guardian merely because they work with the athlete. You confirm that you have the copyright owner’s authority and permission from other identifiable people featured in the photo, including a parent or guardian for anyone under 18. Do not submit if that authority is missing.
Homepage use only
This permission covers the homepage and the private submission, review, and permission-record functions needed to support it. Advertising, social media, sale or licensing to others, and other promotional uses require separate permission. Necessary hosting and storage providers may process the photo on our behalf. Your submission does not grant exclusive ownership or waive unrelated rights.
Your information and public credits
We collect your verified account identity and contact email, typed signature, relationship, photo and its checksum, athlete and photographer credits, optional club or meet, image description, acceptance time, consent choices, exact permission text and version, applicable Terms and Privacy versions, request identifier, and browser user agent. Platform administrators use these records to review the submission, verify permission, respond to disputes and removal requests, and maintain an audit trail. Only approved photos, public credits, and their image descriptions appear publicly. Your email, signature, relationship, and account identifiers are not public credits. Use a first name and last initial if you prefer.
Review, withdrawal, and retention
Your photo stays private until a platform administrator approves it. You may withdraw at any time from Submit a photo while signed in; withdrawal removes it from homepage selection, stops new delivery, and deletes the stored image. Anyone pictured or a copyright owner can contact onemoretrysoftware@gmail.com or use /privacy/request to request removal. We may also remove a photo. We retain the acceptance record, checksum and review history after removal to document prior authorized use and resolve disputes, only as reasonably necessary under our Privacy Policy and applicable legal obligations. Verified privacy requests can address those records; any legal hold or required retention will be explained. Copies already saved, cached, or independently published by others may remain outside our control.
Electronic acceptance and existing policies
The checkboxes and your typed full name record your voluntary electronic acceptance of this specific permission. You can download a copy with your submission receipt. This permission applies only to this submission and does not retroactively change earlier acceptances. The existing VAULTmeet Terms (owner-v1.0-2026-08-11) and Privacy Policy (owner-v1.2-2026-09-10) continue to apply. Contact onemoretrysoftware@gmail.com with permission or privacy questions.

- I consent to the featured athlete’s image and public credit appearing on the homepage. I am that adult athlete, or I am their parent or legal guardian. I also have permission from any other identifiable people featured in the photo, including a parent or legal guardian for anyone under 18.
- I am 18 or older, have read the Homepage Photo Permission and Privacy Notice, and agree to it. By typing my full name and selecting Submit for review, I intend to sign this permission electronically.
