1. Price and consent before payment
Before any charge, checkout must show the item or plan, total price, currency, payment timing, merchant or payee, renewal terms when applicable, and the refund rule that applies. You authorize only the charge shown on that checkout. Stripe processes card details; VAULTmeet does not store complete card numbers.
2. VAULTmeet plans and Host purchase
The club plan is $25 USD per club per month, plus applicable tax, including Host and integrated Live. It renews until paused or canceled. Pause stops renewal at the paid-through date. Resume starts a new paid period without charging for the break. Review the monthly membership terms. Existing purchases and annual subscriptions keep their accepted rights; standalone Live pricing is unchanged.
Standalone Live subscription charges are nonrefundable after the paid term begins except for duplicate or unauthorized charges, a material failure to provide the purchased service that VAULTmeet cannot reasonably cure, or when law requires a refund. You may cancel through the billing portal before renewal; access continues through the paid term unless checkout says otherwise.
3. Meet entry fees
Entry-fee role summary: entry-fee-payment-role-supplement-v1-2026-08-31. It is nonretroactive and does not replace the Host owner's separate acceptance of the exact current Entry Fee Processing Addendum.
The Meet Host may accept VAULTmeet-facilitated online payments through Stripe Connect or direct payments
such as cash, check, or an external payment service. The Meet Host is the seller and merchant of record
responsible for the meet entry and event. For facilitated payments, VAULTmeet uses Stripe Connect separate
charges and transfers with Host identified through on_behalf_of and acts only as Host's limited collection agent. Stripe confirmation extinguishes
the payer's obligation to Host for the amount confirmed even if Host's transfer or payout is delayed. Direct
payments remain outside this flow and must be confirmed by Host after receipt.
When the separately accepted Entry Fee Processing Addendum and commercial workflow are active, that Addendum controls platform fees, actual Stripe cost, transfers, reserves, reimbursement, setoff, refunds, disputes, and tax allocation. Under the historical v1 policy, 4% and actual processing cost are deducted from Host proceeds. Under the new zero-fee policy, VAULTmeet takes no per-entry fee; actual processing cost remains a Host deduction. Neither policy adds a separate family surcharge. Collection remains disabled unless every documented gate passes.
The Meet Host sets the entry fee and meet-specific refund policy and is responsible for cancellations, postponements, relocation, weather decisions, withdrawals, eligibility decisions, and event delivery. The app must show that policy before payment and on or with the registration record. A Host cannot use a policy to avoid a refund required by law.
Unless a more participant-friendly policy is shown, a canceled meet with no rescheduled participation option is refundable for the entry amount actually received, less only a fee that was separately disclosed as nonrefundable and is lawfully retained. A postponement or material relocation is handled under the displayed Host policy and applicable law.
4. Refund method and timing
Approved card refunds are returned to the original payment method. Banks and card networks control when the credit appears. Offline payments and refunds must be handled by the Host and recorded accurately. Test-mode payments do not move real money and are not real purchases.
A full or partial entry refund follows the immutable policy recorded when the payment began. Historical 4% fees are returned proportionally; new zero-fee payments have no platform fee to return. If Host lawfully retains all or part of the entry fee under the refund or withdrawal policy shown before payment, any historical platform fee is retained proportionally. Stripe determines whether any payment-processing cost is returned. Under the current accepted Entry Fee Processing Addendum, VAULTmeet absorbs the proportional Stripe cost that Stripe does not return for a completed refund; it is not re-debited from Host. A failed or pending provider adjustment is not reported as completed.
5. Taxes and reporting
One More Try Software LLC is registered in Texas as a marketplace provider. For an activated facilitated transaction for which VAULTmeet is legally responsible for marketplace tax, checkout calculates and adds the applicable tax, and VAULTmeet collects, reports, and remits it. Tax is not Host proceeds. The Host must provide accurate event, seller, location, price, and exemption information and remains responsible for tax outside VAULTmeet's legally assigned marketplace duties. Taxability or an exemption varies with the Host, event, jurisdiction, and facts; VAULTmeet does not state that every entry fee is taxable or exempt.
Host Finance separates gross entry fees, tax collected, refunds, the platform fee recorded for each payment, actual Stripe cost when available, transfers, and Host net. Stripe remains authoritative for processing charges and bank payouts. VAULTmeet provides marketplace tax records and certification as required, and each party must keep its own supporting records for the legally required period. Exports assist reconciliation; they do not calculate income tax, determine taxable profit, replace Stripe or government records, or promise tax filing for Host.
6. Disputes and contact
Contact the Meet Host first for an event-entry refund and VAULTmeet for a subscription or platform billing issue. Nothing here limits a right to dispute an unauthorized or incorrect charge.
